Implementation Project Management (IPM)

Our experience gained in implementing HR and Payroll software puts us in the position of providing best practice services in this area. Over the years, we have optimized and fine-tuned the techniques aimed at getting our customers to the live implementation phase with minimal disruption and at least cost.

 

We use proven project management methodology to guide the project team through all phases of implementation, including anticipating and avoiding bottlenecks.  Our role includes ensuring that the customer has the required resources in place to get the job done. We may have direct responsibility for some tasks and offer guidance to the client in completing others.

As expected, IPM covers the provision of guidance in all activities relating to the successful implementation of the HR and Payroll application software. Activities include: overall project planning, supervision of parallel runs and reconciliation of variances.

 

Data Migration/Conversion

One of the most tedious and time-consuming activities that affects implementation time is the need to transfer data into the new system. In order to provide tangible support to the process, we offer professional help to migrate or convert the required data.

The source data may sometimes reside in the database files or tables of a third-party application that was in use by the client. In this case, our technical team uses or develops conversion programs to transfer data into the formats required by HRM2001.

 

Data may also be available in standard office automation software formats such as Excel. This information is imported from Excel to create the initial HRM2001 database.

 

Customization

At times, the standard HR and Payroll application software does not meet all the customer's business requirements. The customer may have unique needs that can only be met by modifying the standard application software. Where clients have such requirements, we undertake to provide the enhancements desired.

 

It is very important to note that we guarantee that all such modifications that are done by our technical staff do not affect your ability to upgrade to a new product release or update. Such changes will normally be incorporated as features in a subsequent software release or upgrade. Where the changes are client-specific, software switches are used.

 

Interfaces

The HRM2001 system consists of a suite of fully-integrated application software modules. At times, there is a need to exchange information between HRM2001 and other third-party application software products.

 

Interfaces may be provided using several options.

 

Import Export

This is a HRM2001 Utility option with which data may be imported from a third-party application software package or exported to another software system. This is a configurable feature which allows users to specify the attributes of the data that will be imported or exported. Such attributes may include:

Filename

File Format

Field Length & Type

Etc.

 

The system includes the facility to review for accuracy the data that has been imported or data extracted for exporting.

 

General Ledger Extract

The General Ledger Extract is an available payroll interface option. Based on each company's business rules for general ledger distribution, the General Ledger Extract template is used to specify the distribution rules. During the payroll run, the General Ledger Extract will appropriately distribute payroll data elements and create a General Ledger Interface file. This file which contains the related journal entries may then be imported as a GL transaction batch in the financial application software.

 

Time Clock Interface

Whether our integrated Time & Attendance module or a third-party Time Clock solution is being used, interfaces are available to extract required data from the Time Clock. The key element is the interpretation of the data generated by the Time Clock. This is based on the organization's business rules governing time and attendance. After such business rules have been set up, time clock data may be interpreted and then imported into the HR's Time and Attendance module or into the Payroll module for payment purposes.

 

Apart from the above, other interfaces may be developed for clients as required.
